Move bills into the Archive without exporting

Sometimes you just need to move a bill into the Archive, and you don't necessarily want it in your accounting software. You can do so from one of two tabs within Lightyear.

Archived bills can still be accessed later if needed, depending on your Lightyear settings.

Signed Off: Move to Archive

Archiving bills helps keep your workspace organised and ensures that only active documents are visible. This will come in handy for those who wish to store historical documents but don't necessarily want these exported to your accounting software.

You can select bills and Archive them straight from the Signed Off tab:

  1. Open the 'Signed Off' tab in Lightyear.

  2. Identify the bill you want to archive.

  3. Click on the Archive button (folder icon) to move the bill to the archive.


Inventory: Export to Archive

Exporting inventory to the archive works well for those using another third-party system that sends data into your accounting software. To avoid receiving double the data, you can now streamline your accounts payable/approvals process and send your bills to the Archive instead.

  1. Open the 'Inventory' tab in Lightyear.

  2. Select the bills you want to export

  3. Click on Export and Archive

  4. Your selected bills will move out of the Approvals workflow and straight into the Archive.

📌 Note: Standard billing charges apply, so you can export and archive the same document for the charge of one credit. This will be recorded in your Billing View > Transaction History.
