POs - Completed Tab

Now that you have Closed/Completed your POs, they can be found under the Completed tab. Check out this video or read on below to guide you through the Completed Tab.

This is where users with PO Permission "Complete" will be able to see all the ordered POs (or the POs assigned to their department if you have this setting turned on) that are now ready to be Received or Completed.

Here you can do a number of things, including:

  1. Leave notes and view activity history under Activity > Notes / Activity

  2. Attach any supporting documents via the Paperclip function

  3. Void the PO

  4. Send it back to Ordered if for any reason you aren't ready to push it forward and need to send it backwards in the process

  5. Select the side arrow and expand/collapse to present/hide your PO image as required

  6. Copy the PO and create a new one with the same information.

You will not be able to make any further edits or delete your PO at this stage; you will be able to void the PO. Admins can void POs at any stage, including after they have been received or marked as completed, ensuring effective management of purchase orders.

When you have Panel 3 expanded, you will then have the standard Panel 3 options, such as:

  1. View full screen

  2. Download the document

  3. Print the document

  4. Zoom in/out

  5. Rotate right/left​

Don't forget you can customise the columns you are seeing in Panel 1 and the headers of the line item details in Panel 2 via the settings.

You have now completed Purchase Order cycle in Lightyear. The next stage would be to check the Bill Approvals workflow to process, approve and export your bill to your accounting software.

📌 Note: Lightyear's support team cannot void purchase orders or contact suppliers to cancel them. All actions related to voiding POs must be handled internally by your organisation.
