What is Access Evo?
Access Evo is an AI-enabled software experience that transforms your everyday. It's a unique solution that empowers users to achieve more, giving you the freedom to do what's important. Access Evo aims to give you a single experience within one interface across the various Access products you use. Lightyear is the latest addition to this Access Evo experience.
How do I use Access Evo?
Access Evo is available within Access Workspace, you must first be a customer and user of the Access products with Lightyear enabled.
Access Identity (SSO)
Access Identity is what we call the Single Sign On experience for all Access products. You can use Access Identity to sign in to Lightyear using your Access login.
From our login page, click the Sign in with Access Identity button.
If you're not already logged in to Access Workspace, you will be re-directed to log in.
Once successful, you will be sent back to Lightyear to select your Company.
Warning: please ensure you are a user within a Lightyear company before clicking the Sign in with Access Identity button.
Evo Button
The Access Button allows you to seamlessly switch between Access products regardless of which one you're currently in. Before this can happen, there is some set up that needs to be done by your Account Manager within the Admin Portal.
Warning: enabling the Evo Button may limit what you can see and do around User Permissions within Lightyear.
Admin Portal
First, Lightyear will need to be added to your Access Organisations with an active subscription within your Access Admin Portal, if this hasn't been done, please reach out to your Account Manager.
A Lightyear company will need to be created by a member of the Lightyear Onboarding team that will connect your Access Organisation to your Lightyear company.
Don't worry about any of the specific details involved in this set up, this will be handled by the Access/Lightyear teams.
User Maintenance
Companies connected to an Access Organisation cannot add users directly to Lightyear, these will need to be added from Workspace as per other software within Access.
Please Note: only users with Admin permissions can do this within Workspace.
Head over to your Access Workspace and go to the Organisation that is linked to your Lightyear account.
In the top right, click the Members icon and select the user you want to grant access to Lightyear.
Click the three dots in the top right of their tile and go to Manage Roles.
Within the Manage Roles modal, you'll see your Products that have been added by the Access/Lightyear teams.
Select the Lightyear option and the modal will expand to the right with the Lightyear Companies the user can be added to.
In bulk, by selecting the relevant companies, or individually, you can assign the relevant role to the user. The options that can be selected are as follows:
Company Admin
Approval Task Only
Approval Task & Archive
Standard User - this user type is slightly different, but is covered in more detail below.
If you want to remove a user from a company, you can select No Access, which is the default for all users.
Once you have selected the correct permissions for the user, click Save Changes and then Confirm on the next modal.
When you go to Lightyear, you will see the new user has now been added to the relevant companies.

Editing User Permissions
If you Edit the user within Lightyear, you will see the fields are inactive and cannot be selected. This is because the user maintenance has to be done within Access Evo itself. If you need to make any changes to a Users' permissions, you can follow the steps in the User Maintenance section to make adjustments.
Please Note: this only applies to Company Admin, Approval Task Only and Approval Task & Archive. Standard User is different as mentioned above.
