Will Edit Mode Remember My Changes?
Yes, Edit Mode stores the changes you have made against each Supplier. When you upload the same Supplier document multiple times, Smart Extract+ will apply these changes for you automatically.
Please Note: if the structure of the document, or the data presented (e.g., labels, column headers) changes from document to document, you may need to re-edit your data to make sure it's up to date and correct, the same way you would with a Map.
Why Can't I click the Edit Mode Button in Processing?
Edit Mode needs to have a Supplier linked to the document before you can go to Edit Mode. This ensures the Rules you save are being stored against the correct Supplier and, in the case where you have already created Rules, they apply and display correctly before you make new or further changes.
To get into Edit Mode, select a Supplier from the dropdown menu in Panel 2.
Why Can't I Select Data on my Document in Edit Mode?
Edit Mode has three different Modes to choose from to ensure you can get the correct data extracted - Label/Value, Words and Tables
Label/Value will only highlight what Smart Extract+ identifies as having a clear Label and Value beside it, meaning some things will not be included, e.g., sentences, long paragraphs, line items.
If you cannot select the data needed, switch to Words Mode, and you will see everything highlighted on the page to choose from.
For Line Items specifically, you can use Tables mode.
Why Is My Data Changing Between Edit Mode and Preview Data?
Lightyear has a lot of built in verifications, calculations and validations to ensure your data can be stored within Lightyear correctly, and also exported accurately to your Accountancy Software.
Header Fields
Within the Header Fields, e.g., Sort/BSB/Routing, Bank Account Number, PO Number, etc., we have some built in validation/verification to ensure your data is correct.
Take Sort/BSB/Routing, for example, is limited to 10 characters, and these have to be numbers. So any time you extract a 20 character value, that contains symbols and letters, e.g., ABC123-456-789-00000, Preview Data will display 1234567890 and cut out any unneeded characters.
Line Level Fields
Within the Line Level Fields, you can extract the relevant lines within each table/column and Edit Mode will display these to you. However, throughout Lightyear, we have a lot of different calculations in place to ensure your Supplier is calculating correctly, and that what we're exporting will match the calculations your Accountancy Software will do.
You can extract a Quantity of 5, a Unit Price of 10, and a Line Amount of 100, but when it comes to viewing this in Preview Data, and throughout Lightyear, we will take the Quantity of 5, the Unit Price of 10 and calculate this to the correct value of 50. If you need the line total to be 100, we would suggest extracting the Quantity and Line Amount, but please note this will change your Unit Price to the correct value of 20 to make sure the calculations are accurate.
If you extract a different total to that which would be calculated, e.g., if you say the total is 100, but the Line Amounts plus Tax actually calculate together to be 90, we will display 90 as your total, but include a Rounding Bell to say it's off by 10, as you have told us the total should be 100. You would need to add in the rounding adjustment line to make the total calculate to what you expect.
Why Can't I Change My Date Format?
Within Preview Data you'll see a field for Date Format, this allows you to change the format between DD/MM and MM/DD where Smart Extract+ has got it wrong.
If you are selecting the dropdown options but the Dates aren't updating, there's an easy way to fix this.
The Date Format field only applies to fields you have extracted yourself, if you are relying on the data Smart Extract+ has returned by default, these won't update.
Go back into Edit Mode, click the Dates that are incorrect, and re-select them within Panel 3. When you go back to Preview Data, they will update accordingly based on the selected Date Format.
Why Is My Tax Incorrect?
There's two steps to take to make sure your Tax is being calculated correctly.
Extracting the Tax
Firstly, within Edit Mode, make sure you have extracted the correct document data into the Tax Amount or Taxed column. If your document represents tax with the value/amount of tax, extract this into Tax Amount. If your document represents tax with a symbol, number or word, extract this into the Taxed Column.
Setting Up Rules
If you have used the Taxed column, and it's not obvious what each line means, you can set your Supplier up to recognise what each code or symbol means.
For example, if your tax lines are 20% and 0% (as per UK tax), Smart Extract+ can recognise which lines are taxed and untaxed.
When you tax is 01, 02, etc. as in lines with 01 mean they are taxed, lines with 02 are untaxed, you need to set this up. Go to Preview Data and add Rules to the Supplier to tell Lightyear which Tax Rates should be used when Smart Extract+ sees 01, 02, etc.
