Preview Data is the next step to review the extraction once you've made changes within Edit Mode. Click the Preview Data button in the bottom right of Panel 2 and you'll be taken to a new page.
What Is Preview Data?
Preview Data is where you review the extraction.
As Edit Mode doesn't contain any field validation or calculations, Preview Data is what you can use to check the extraction before you save it against your supplier.
It's important to review the extracted data thoroughly in Preview Data.
Once you're happy with the extraction, click Save to Supplier.
What Can I Do In Preview Data?
Lines/Service/Summary
As with the Processing Tab, you can flick between the different Smart Extract+ extraction types within Preview Data so you can see the difference in what's being extracted and calculated.
This is especially important and useful if you have used Tables to change your Line Items extraction.
Tax Rates
A common use for Edit Mode is needing to point to the column on the document that indicates if a line item is taxed or not. In the example I've been using, the VC column is the Taxed column.
Providing you've already told Edit Mode which column to find the Taxed information, you can click the Edit Pencil icon next to the Taxed column and it will display a modal with your Supplier Default Tax Rates on it.
Here, we want to use the Smart Extract Tax Rates, so click the green button to add a Rate.
In the Additional Tax Rate dropdown menu, select the rate you want to use, in this case I'm simply selecting 20%.
In the Tax Indicator field, type the value you want us to search for within the Taxed column to automatically apply the relevant Rate.
In this example, my bill has 01 and 02 in the Taxed column, so I will add a 01 Indicator to say this is 20%, and a 02 indicator to say this is 0%.
Once updated, these will apply to the relevant line items within Preview Data, and continue to be used when new documents of this Supplier are uploaded.
Date Format
In the scenario where your document has a date of, e.g., 6/1/2026 (6th January 2026), but Smart Extract+ is reading it as 1/6/2026 (1st June 2026), you can use the Date Format field within Preview Data to make adjustments.
Please Note: this field only applies to dates you have extracted, it will not work on the automatically Smart Extracted dates that come through.
To adjust the date, ensure your date fields are populated and select the dropdown for Date Format, and select between DD/MM or MM/DD. By default, you'll be selected on the option relevant to your company country - United States will have
Important Information
If you are changing the Date Format and the dates aren't changing, go back into Edit Mode, click on the Date field within Panel 2 and re-select it on the document in Panel 3. Do this to all date fields that have been extracted.
When you go back into Preview Data, you should see the dates extracting correctly.
