Disregard Map

If you don't want to use a map for a supplier and would prefer Smart Extract+ instead, you can disregard the map so it stops suggesting.

There are two scenarios where Disregard Map comes in handy:

  • If you have a document that perfectly extracts via Smart Extract+, but it keeps getting held up in Processing because there is a viable map that is working

  • There is a Supplier with a lot of maps suggesting, and you consistently use one map and don't want your team to get confused which is the correct map to use

How To Disregard a Map

Within Processing, when you have uploaded a document with a working map it will suggest within Panel 2. Next to each of the suggested maps you will see check boxes.

Click the check boxes for the maps you want to disregard, if you want to disregard all, click the check box along the header.

When these are selected, the Disregard Map button will become active.

Click this and Confirm in the modal.

If you have disregarded all maps, you will see a screen like this, letting you know there are no more maps available to use.

From here, you can either Smart Extract, request a new map, or manually enter the document.

If you have Auto Smart Extract enabled, the next time you upload a document from the same Supplier, it will automatically Smart Extract for you and move through to the Approvals tab.

If you've only disregarded a couple maps, and there are some remaining, you will see these displayed in Panel 2 straight away, and also each time you upload a new document from the same Supplier.

Why Am I Still Seeing Maps?

If you have disregarded all maps, or a select few, and are now seeing more than normal, it is likely our Mapping Team have created a new map for that Supplier for another customer, that will suggest on your documents too.

If you are seeing new maps appear, follow the same process above to disregard them, and your flow will go back to normal.

Reinstating Maps

If you have accidentally disregarded a map, or realise you want to use a specific map that was previously suggesting, you can find your list of disregarded maps in Company Settings.

You can either search by the Mapping ID if you know what you're looking for specifically, or use the Supplier Name to find multiple to disregard.

Please Note: the Supplier Name is the name that we have mapped, rather than your Supplier in Lightyear, e.g., we may have extracted the name Amazon Web Services, but your supplier may be called AWS - you would need to search for Amazon Web Services in this case, or simply Amazon and we'll find all maps with that word included.

Use the check boxes to select all the maps, and click Reinstate Maps. These will suggest to any relevant documents in Processing straight away, and to any newly uploaded documents moving forward.
