Steps to update your Company's name or email address in Lightyear

Update the Company Name

You can change your 'Company Name' and/or 'Trading Name' via the Company Profile section.

Navigate to the top right of your screen, and you'll see your name and avatar icon. Click the drop-down and select Company Profile. In this section, you can click the relevant boxes that you need to update.

Update your Lightyear email address

Changing your Lightyear email address ([email protected]) requires manual intervention by our development team and may incur a fee. To update your Lightyear account's email address, contact the Lightyear support team, and you'll be guided through the process.

Changing your email address can be troublesome for you, as all your suppliers will need to be notified before the change. We recommend you email them all beforehand, advising that from a particular date, they will need to send it to your new address. You may consider creating a new account as a child account of the existing one or renaming the existing account. Renaming may involve migrating documents and could incur a fee, while creating a new account is typically free.

If you do change your email address, you can set up a temporary account using your original Lightyear address, this way if suppliers do send invoices to the old address, they wont go astray, as you can easily transfer the invoices to your new one. For more guidence, see Register a new company.

To change your login email address, go to My Profile > Admin. Only individual users can update their own email addresses, and admins are restricted from making changes on behalf of others.


Reassign role-based email addresses

Managing role-based email addresses in Lightyear can involve reassigning emails between users or troubleshooting missing accounts. Below are two approaches to reassign role-based email addresses:

Option A: Simple invite-and-rename

  1. Invite the former role email address (e.g., [email protected]) to the system.

  2. Once both role emails are active, rename the users to the correct role emails.

  3. Invite the new user to the now-available email address.

Option B: Step-by-step reallocation

If you want to keep an existing profile unchanged, follow these steps:

  1. Reset the account currently associated with the target role email (e.g., the user who previously had [email protected]).

  2. Log in to that account and change its email to a different, valid email address (e.g., [email protected]). This frees up the target role email.

  3. Update the current role-holder’s email to the newly freed role email (e.g., change [email protected] to [email protected]).

  4. Invite the new user using the now-available email for the other role (e.g., invite the new user with [email protected]). Example Mapping:

If you cannot find a previously used role email address (e.g., [email protected]) in the user list, it may still exist under a different username. To resolve this:

  1. Invite the email address again.

  2. The system will surface the existing profile, allowing you to proceed with renaming or reassignment steps.
