Smart Extract+ Edit Mode - Page Layout

It's important to understand the page layout within Edit Mode. Within this article I'll be highlighting each section and going through what it's called, as well as the purpose it holds. This will help when you read through the other Edit Mode articles.

You may be familiar with the general layout of Lightyear referring to Panel 1, 2 and 3, details found here. Within Edit Mode, we have kept the terminology of Panel 2 and 3 for the sake of familiarity.

Panel 2

Panel 2 in terms of Edit Mode still refers to the fields you'd see within Processing Panel 2, except here it has a slight different look to make it easier to see which fields are usable.

Header Fields

The header fields refer to the fields at the top half of the Panel 2 section, these will be familiar to you as they're the same as if you were in Processing, such as:

  • Supplier

  • Bill #

  • Bill Date

  • Due Date

  • Sort/BSB/Routing

  • Account Number

  • Account Name

Here, you can click any of the fields while in Label/Value or Words mode, then select the relevant field from the document in Panel 3. While in Tables mode, this section will be inactive.

Line Items

The Line Items fields refer to the fields on the bottom half of the Panel 2 section, these will also be familiar to you as they're the same as if you were in Processing. By default, the fields available here were if you had selected Line Item extraction, rather than Service or Summary. You do not need to use all the fields if you intend to only use Service/Summary down the line.

Fields here are as follows:

  • Product Code

  • Description

  • Quantity

  • Unit Price

  • Line Amount

  • Tax Amount

  • Taxed

Here, you can click any of the fields while in Tables mode, then select the relevant column from the document in Panel 3. While in Label/Value or Words mode, this section will be inactive.

Panel 3

Panel 3 is the same as throughout Lightyear, with the document displayed as well as buttons to print, rotate, copy text from, etc. The slight difference here is the highlighted fields that appear in certain areas overlayed on top of the document.

Highlighted Fields

Depending on which Mode you have selected in Edit Mode, you will see three different coloured highlights over fields.

  • Label/Value - teal

  • Words - purple

  • Tables - dark blue

Pop-Over

When you click on a field, from either Panel 2 or Panel 3, you will see a small modal appear close to the field. This is what we call the Pop-Over.

Depending on the Mode you're in, you'll see different information. Across all three modes, you'll see the value that's being extracted and will be used moving forward when the Supplier is Smart Extracted again.

To accept this, you can click Confirm or the Enter/Return key on your keyboard.

Label/Value

The ability to use both the Label and Value to determine where to take the extraction on the document from in the future.

Words

Looking only at the coordinates/location of the value being extracted from the document in the future. If this moves position in the future, it may not be extracted as accurately.

Tables

Use the Column Headers to determine where each Line Item field should be extracted from. If this moves position in the future, it may not be extracted as accurately.
